Contracts Administrator / Document Controller – Enfield

The role will be to support both the Contract Management & Design Teams. The candidate will report to the Contracts Coordinator and will be responsible for general administration within the Contracts Team alongside document control within the Design Team. As the role progresses, they will assist in the successful running of the day-to-day operations, alongside the Contracts Coordinator.

Responsibilities & Duties

  • Preparation and management of various construction documents.
  • Assist in preparing health & safety files and other site documentation e.g., RAMS, handovers, inspection, and test plans.
  • Communicating and liaising with clients, architects, sub-contractors, and site management, dealing with a variety of tasks and contract demands.
  • Recording, organising, and managing defects, snags, and on-site testing.
  • Asset management, keeping records of servicing and maintenance.
  • Work as part of the contracts management team to organise materials, equipment, and labour resources for projects.
  • Liaise with outside contractors and suppliers to ensure that any goods or services are delivered on time and meet the customer requirements.
  • Work with the contract managers to organise plant and stock to be on site for start of each project.
  • Deal with queries between site managers/supervisors and the office.
  • Liaise with workers regarding problems on site.
  • Liaise with the contracts co-ordinator to ensure the updating of job records and customer systems.

The Contracts Adminstrator / Document Controller must have/be

  • Downloading and distribution of construction documents, including uploading to various project information software (Aconex, Asite, 4Projects/Viewpoint, Dochosting, ACMetrix, Safetybank, and others)
  • Comply with documentation procedures.
  • Log document requests and distribution as needed.
  • Sorting, storing, and retrieving electronic and hard copy documents.
  • Quality control of outgoing documents.
  • Updating and maintaining the internal construction management app (Fieldwire).
  • Ensuring that training documentation/paperwork is up to date, recorded and maintained by liaising with the Office Manager and Office Administrator.
